Queer as Traveler LLC – General Terms & Conditions

Thank you for choosing Queer as Traveler LLC. Please review the following Terms & Conditions carefully, as they form the agreement between you (“Traveler”) and Queer as Traveler LLC (“Company,” “we,” or “us”).

Package Includes

See each specific tour page for details on what’s included (such as accommodations, transfers, meals, and guided activities).

NOT INCLUDED

  • Optional tours and activities are not specified in the itinerary.

  • Gratuities (suggested minimum $10 per person per day: $2 for the driver, $8 shared among local and tour guides).

  • Meals not mentioned in the itinerary.

  • Personal expenses such as laundry, phone calls, or room service.

  • Travel insurance (highly recommended).

  • Any other items not specifically listed under “Package Includes.”

Note: Queer as Traveler LLC is not responsible for optional tours or activities booked independently by travelers.

TRAVEL DOCUMENTS & ENTRY REQUIREMENTS

It is the traveler’s responsibility to ensure that all travel documents are correct and valid.

  • A passport valid for at least 6 months beyond your return date is required.

  • Travelers are responsible for obtaining any visas required by destination countries.

  • Non-U.S. citizens should consult their consulate or embassy for up-to-date visa requirements.

  • Queer as Traveler LLC is not responsible for denied entry, missed flights, or additional costs due to invalid or missing documents.

TRAVEL INSURANCE

We strongly recommend that all travelers purchase comprehensive travel insurance that includes trip cancellation, trip interruption, baggage loss, and medical coverage.
Insurance can be purchased through your travel agent or directly with a trusted provider.

Without insurance, travelers assume full responsibility for any loss, delay, or expenses resulting from unforeseen events.

CANCELLATION & REFUND POLICY

Cancellations are costly and often non-refundable due to airline, hotel, and partner commitments.

Without travel insurance:

  • 180 days or less before departure — No refund; 100% of the tour cost forfeited.

  • Airline tickets are non-refundable once issued.

If the tour is canceled by Queer as Traveler LLC due to insufficient participation (less than the stated minimum) or unforeseen circumstances, deposits will be fully refunded or may be applied to a future trip.

BOOKING & PAYMENT

  • Full payment is required at the time of booking to secure your spot on the trip. All prices are listed in USD. Once payment is completed, your reservation is confirmed and non-refundable.

  • Please review all trip details carefully before completing your purchase, as bookings cannot be transferred to another person or applied toward future trips.

  • In the unlikely event of trip cancellation by Queer as Traveller, guests will receive a full refund.

  • All pricing is based on double occupancy.

  • Single occupancy requests must be made in advance via email or phone.

  • Payments by check or ACH are preferred to avoid credit card processing fees.

GENERAL CONDITIONS

  • Times listed in itineraries are approximate and may change based on local conditions.

  • Travelers must be punctual for all scheduled flights, excursions, and transfers. Late arrivals are considered a “no-show” and may result in forfeiture of services.

  • Queer as Traveler LLC is not responsible for missed flights, lost luggage, or additional costs due to traveler delay or negligence.

  • Itineraries, accommodations, and the sequence of activities may change without notice due to weather, safety, or logistical reasons.

  • No refunds or credits will be given for unused services, meals, or activities.

  • We reserve the right to accept, reject, or remove any traveler who is disruptive or incompatible with the group’s safety and harmony. Any expenses incurred as a result will be the traveler’s responsibility.

HEALTH & SAFETY

Travelers should consult their healthcare provider before travel.
We recommend reviewing health guidelines from the CDC (www.cdc.gov) or WHO (www.who.int).

Individuals with serious health conditions, advanced pregnancy, or mobility limitations should consult a doctor before booking.
If a traveler becomes ill during the trip, they may be required to leave the group and seek local medical attention. All related costs will be borne by the traveler.

ASSUMPTION OF RISK

By booking a Queer as Traveler tour, you acknowledge and accept that travel involves inherent risks, including, but not limited to, illness, injury, or unforeseen events caused by nature, transportation, or third parties.
You voluntarily assume all risks and agree to hold Queer as Traveler LLC harmless from any claims or damages arising from participation in the tour.

RELEASE OF LIABILITY

Queer as Traveler LLC, its owners, employees, and affiliates act solely as an intermediary between travelers and third-party suppliers such as airlines, hotels, ground operators, and other service providers.
We do not own or operate these suppliers and are not responsible for their acts, omissions, or negligence.

We are not liable for:

  • Injury, loss, damage, delay, or inconvenience.

  • Acts of nature, government actions, strikes, war, terrorism, civil unrest, or weather conditions.

  • Overbooking, flight cancellations, or delays by airlines or other carriers.

GOVERNING LAW & LEGAL FEES

These Terms are governed by the laws of the State of California, USA.
In the event of any legal dispute, the prevailing party shall be entitled to recover reasonable attorney’s fees and costs.

By submitting your deposit or payment, you confirm that you have read, understood, and agreed to these Terms & Conditions.
